(Job #546434) Administrative Analyst/Specialist I-Exempt, CES Events Technician, Salary Range: $4,598 – $8,318 monthly. Hiring Range: $4,598 - $4,828 monthly. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in Conferences & Event Services Department. Position Summary:

Under general supervision of the Gutswurrak Student Activities Center (GSAC) Executive Director and lead direction from the Campus Events Coordinator and CES Operations Specialist, the CES Events Technician provides administrative and event support for Conference & Event Services (CES). This position will be responsible for assisting with campus scheduling, event coordination, customer service, and serving as campus host for external users. Additionally, this position oversees the GSAC Information Counter, which provides campus information, A/V and keycard checkouts, and poster, tabling, chalking, and staking approvals.

The CES Events Technician ensures high-quality customer service through interactions with students, staff, faculty, and community members while ensuring event operations align with established policies and procedures.

Key Responsibilities:

Internal Campus Reservations and Event Support – 30%

  • Monitor 25Live for reservation requests of centrally managed spaces (outside of academic course import); approve space requests and coordinate space logistics. 
  • Create event layouts and logistic sheets for events and space use.
  • Provide ongoing 25Live training to campus users submitting reservation requests. Field questions and provide information or directions to additional resources as needed.
  • Assist with monitoring CES email inbox by organizing, filing and sending & responding to emails.
  • Oversee the GSAC Info Desk operations; providing direction with campus scheduling and event needs, general information and resources, approval of posters, tabling, staking, and chalking requests and maintenance of University bulletin boards across campus that are marked for general posting.

Serve as host for external users of University Facilities  - 30%

  • Ability and willingness to work evenings and weekends as required.
  • Assist with promoting and showing campus facilities to potential clients.
  • Assist in all aspects of facility use preparation and execution including but not limited to event set-up and take down and operating audio/visual equipment.
  • Provide lead oversight and work direction for the physical room setup for meeting, conference, and event rooms. Work alongside student and intermittent hourly staff as needed, and ensure that all room setups are timely, accurate, complete, functional, neat, clean, and ready for customer use prior to each event.
  • Troubleshoot and solve challenges which arise during events independently and with the support of the other department members.
  • Serve as designated host and point of contact for clients utilizing University facilities as required. Exercise independent judgment in resolving conflicts during events. Serve as a liaison between the users and Facilities Management and/or UPD for any needs that may arise during evening and weekend hosted events, including emergencies. Resolve variances, questions, concerns during events.
  • Provide access and distribute keys to facility users for venue/building as necessary.
  • Allow appropriate entry into each venue, may collect and/or scan tickets, verify wristbands and ID cards, direct traffic coming in and out of the venue.
  • Provide a high level of customer service at campus events.
  • Assist guests before, during, and after events, as needed; provide answers to customer questions.
  • Generally help to maintain a safe and well organized event, upholding any necessary safety precautions and campus policies.
  • Provide lead oversight and work direction to student assistants, ushering and event staff.

Logistical and Technical Support Operations – 30%

  • Assist with logistical and technical support needs for on campus meetings and events including setup and breakdown of room set details. Evaluate facility requests and identify the most appropriate utilization of equipment and services; review customer requests as needed to determine any appropriate AV equipment and level of service required.
  • Assist with physical room setup for meeting, conference, and event rooms. Provide lead instruction and supervise event setup including placement of all furnishings and equipment in the rooms. Work alongside student and intermittent hourly staff as needed, and ensure that all room setups are timely, accurate, complete, functional, neat, clean, and ready for customer use prior to each event.
  • Troubleshoot and solve challenges which arise during events independently and with the support of the other department members. Address event coordination challenges using reasoning, interpretation, and application of standard event theories and principles to recommend the wisest course of action.
  • Assist with and provide support for university initiatives, presidential and vice-presidential events as necessary.

Administrative Support – 5%

  • Contribute to the overall development of policies, procedures, and guidelines to build a successful CES program. Provide feedback and constructive modifications or suggestions for improvements in methods, techniques, offered services, and procedures for smoother operation and customer satisfaction.
  • Attend training and event staff meetings as required.

Other Duties as Assigned – 5%

 

Knowledge, Skills, and Abilities Associated with this Position Include:

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty including demonstrated knowledge of safe working practices, including equipment safety guidelines and proper lifting techniques, and accepted standards for setup and operation of function spaces, including room setup styles, ADA requirements, fire and life safety requirements, and day-of-event operations.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved, including the ability to utilize innovative techniques and creativity and adapt to frequent changes in work demands and workload in order to meet schedules and deadlines.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Experience working with a diverse group of individuals.
  • Ability to stay calm during conflict and emergency situations and exercise independent judgment in resolving variances, questions, concerns that may arise in the facilities or during events.
  • Ability and willingness to work nights and weekends as needed

Minimum Qualifications:

  1. Requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. 

This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

  1. Must possess a valid California Driver’s License

 

Preferred Qualifications:

  1. Experience working with college students in a university or college environment.
  2. Previous experience working with 25live, or similar scheduling software.
  3. Demonstrated ability to provide attention to detail.
  4. Demonstrated strong customer service skills.
  5. Thorough knowledge of applicable university infrastructure, policies, and procedures.

Pursuant to the Higher Education Opportunity Act, the 2021 Annual Fire Safety Report (AFSR) is now available for viewing at https://housing.humboldt.edu/sites/default/files/annual_fire_safety_report_for_housing_2021.pdf. The purpose of this report is to disclose statistics for fires that occurred within Cal Poly Humboldt's housing facilities for 2018, 2019, and 2020, and to distribute fire safety policies and procedures intended to promote safety on campus.
