(Job #542809) Administrative Analyst/Specialist I – NE, Systems Analyst – Admissions Operations, Salary Range: $3,879 - $7,488 monthly. This is a full-time, benefited, non-exempt, 12-month pay plan permanent position with a one-year probationary period in Department of Admissions. Position Summary:

Working under general direction of the Director of Admissions, the Systems Analyst will support the Office of Admissions with providing timely and effective services regarding all aspects of admissions processing systems. The position is the primary point of contact for inquiries regarding the use of Peoplesoft application and related admissions functionality, troubleshooting and resolving issues, communication, and documentation. Admission applications involve high visibility, coordination at the CSU-system level (Chancellor’s Office, systemwide calls, etc.), and broad impact within and beyond campus, to all prospective students and their families.

The Systems Analyst will collaboratively determine methods to meet enrollment goals effectively and efficiently to ensure successful implementation of related systems, including but not limited to: Cal State Apply enhancements, communication systems (Slate), PeopleSoft upgrades/fixes, and future related initiatives.

 

Key Responsibilities:

Systems Configuration and Maintenance – 40%

  • Configure, test, and maintain specialized systems and functions supporting admissions and application processing.
  • Update application due dates and handle rollover of admissions cycles.
  • Configure, load, and maintain exports to align with updates in admissions processing for each cycle.
  • Develop a comprehensive understanding of Liaison functionality to ensure smooth operations.
  • Maintain organizational data and resolve errors in application datasets, integrating Chancellor’s Office updates.
  • Maintain the WebAdmit portal, ensuring functionality and user access.
  • Implement custom changes within WebAdmit as needed to address statewide, campus, or program-specific requirements.

Data Analysis and Reporting – 30%

  • Analyze and interpret admissions data errors, determining causes (user-error, systemic issues, or incorrect code).
  • Organize ad-hoc and routine application and admissions reporting (ERSA, Director requests, etc.), ensuring data integrity.
  • Oversee the weekly SSN Rematch process and manage bi-directional data transmission between WebAdmit and campus systems.
  • Administer redirection processes in line with CSU systemwide policies.
  • Organize and distribute Invite & Coupon Codes.

Cross-Functional Collaboration and Support – 25%

  • Collaborate with the Coordinator of Systems for Recruitment & Retention on data mapping, integrations, and workflow functionality.
  • Work with IT to develop, test, and implement new business practices and changes.
  • Provide support in leveraging CRM (Slate) and other technologies to enhance recruitment and retention.
  • Align graduate admissions processes with broader enrollment management and student communication efforts.
  • Participate in relevant meetings or committees.
  • Create process guides and documentation for admissions systems.
  • Join CSU systemwide modules, explore new PeopleSoft functionality, and recommend/implement changes.

Knowledge, Skills, and Abilities Associated with this Position Include:

  • Basic knowledge of integrating systems, troubleshooting errors, and ensuring smooth data transmissions, and ability to adapt those processes within admissions systems.
  • Ability to analyze and interpret data errors (e.g., user errors, systemic issues, incorrect code), ensuring data integrity across systems.
  • Knowledge of database queries, tables, and processes.
  • Knowledge configuring, testing, and maintaining specialized systems.
  • Knowledge of Microsoft Windows and Microsoft Office including Microsoft Excel, Word, and Outlook.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Capable of making independent decisions, exercising sound judgment, and prioritizing tasks effectively in a dynamic environment with multiple projects.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
  • Ability to communicate effectively with a diverse population.
  • Ability to establish and maintain working relationships with staff, students, and faculty from diverse backgrounds.

Minimum Qualifications:

  1. Equivalent to graduation from a four-year college or university preferably in a related field of study including data science, and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
