(Job #541193) Confidential Administrative Support II, Events, Engagement, and Office Coordinator, Salary Range: $4,687 - $11,223 monthly. This is a, full-time, benefited, exempt, 12-month pay plan permanent position with a one-year/two-year probationary period in Office of the President. Position Summary:
Reporting directly to the President, the Engagements and Events Coordinator is responsible for planning and coordinating special meetings and events on behalf of the Office of the President. The person in this position also provides confidential administrative support, serving as a first point of contact for the President's Office.
Key Responsibilities:
15% - Attendance at Special Events and Engagement Opportunities
- Attends various office sponsored functions, meetings, and events.
- Serves as first point of contact, providing supervision and oversight during office sponsored activities. Examples include but are not limited to:
- Commencement related activities
- Annual campus events
- Faculty, staff, and student engagement activities
- President's athletic and donor events
- Recognition events and receptions
- Representing the President’s Office, attends some internal and external events led by department and community partners to provide support, and assist with ensuring University leadership participation.
30% - Event Planning, Coordinating, Tracking, and Recordkeeping
- Independent coordination and implementation of office sponsored events.
- Maintains a tracking system for event budgets and expenditures, and reconciles ProCard related purchases.
- Schedules and coordinates venue reservations, catering, scripts, and run of show.
- Coordinates outreach, invitations, and communications.
- Maintains and/or creates documents with procedures for future reference.
- As needed, coordinates evaluation surveys.
- As needed, procures items, gifts, and awards.
- Collaborates and assists with events organized by multiple areas on campus.
15% - Front Office Coordination
- Serves as one of the first points of contact for the Office of the President.
- Greets visitors, screens, and responds to phone calls and emailed inquiries.
- Maintains electronic records and filing systems for the office.
- Reviews and processes confidential correspondence and general incoming and outgoing mail.
- Responsible for promotional orders and inventory.
- Maintains Office of the President websites.
35% - Confidential Administrative Support
- Provides administrative support for the President, the Chief of Staff, the Special Assistant to the President, and the Presidential Aide.
- Provides executive level support for special meetings, projects, and initiatives.
- Provides assistance connecting campus leadership with local organizations.
- Collaborates with MARCOM on social media presence, mass mailings, and campus communications.
- Assists with the coordination and planning of campus visits for dignitaries.
- Coordinates gifts for campus and off-campus events, visiting dignitaries, and investitures.
- Completes special projects as needed.
5% - Other duties as assigned
Knowledge, Skills, and Abilities Associated with this Position Include:
- A basic foundation of knowledge of the principles of organization, administration and management, including the ability to be highly organized, and the ability to work in a fast-paced work environment.
- The ability to analyze and find solutions to problems, work independently, communicate effectively, and write clear and concise reports, including excellent written and oral communication.
- A basic knowledge of research techniques and methods.
- Ability to communicate effectively with a diverse population.
- Ability to establish and maintain working relationships with staff, students, and faculty from diverse backgrounds.
- Demonstrated sensitivity to cross-cultural perspectives and experiences.
Minimum Qualifications:
The foundation for the required Knowledge, Skills, and Abilities listed in the section above would normally be obtained through: Three (3) years of experience in related areas of responsibility; A bachelor’s degree or professional training program specific to the position in marketing, business, or a related field may be substituted for two years of the required experience.
Preferred Qualifications:
- Five (5) or more years or relevant experience
- Experience in a higher education setting
- Marketing and communication experience
- Any length of work experience in customer service, including non-paid/non-professional experience
